Australia Post's Unaddressed Mail online access provides you with everything you need to use Australia Post's Unaddressed Mail Service in one convenient, self-serve environment.
It allows you to:
Minimum requirements and optimal set up to use unaddressed mail online are;
The Unaddressed Mail - Booking search function allows you to search for an existing booking within the system to View, Modify, Copy or Cancel the booking. You can also use the search function to confirm that a booking does not exist in the system before selecting New to create a new booking.
This screen is your "Home" screen. Each time you access the Unaddressed Mail service online you will be directed to this screen.
When searching for a booking, the system will return a maximum of 100 records at a time. If your search finds more than 100 records that meet your criteria, the system will advise that it is Only displaying the first 100 of nnn matching records and you will need to refine your search criteria if the booking you are searching for is not in the 100 records returned.
To search for a booking you must enter at least one of the following parameters:
The Unaddressed Mail - Booking general details function allows the general details of a new booking to be entered or an existing booking to be viewed, modified or copied.
Customer name: will be your customer name unless you are a mail agent acting for more than one customer in which case the Customer name can be selected from the drop down list.
Booking number: is the unique reference for your booking. If you need to contact us about the booking, use this number as it uniquely identifies the booking.
Status: is what stage the booking is at and depending on the stage controls what you can do with it. The normal progression is from "Quote" to "Confirmed" to "Lodged" to "Delivered". There are others;
Article details: these are characteristics of the article that helps us identify it and determine how it should be packed to be transported from lodgement point to delivery office.
Weight (g) of 100 articles in grams
Mailing agent: if you are using a mailing agent for this booking, then select the mail agent from the list otherwise use "No Agent". If the mailing agent that you wish to use does not appear in the list then select "Other". If "Other" has been selected then your booking will be unable to be confirmed until the mailing agent that you want to use is set up for you. Please contact the booking office to arrange.
Lodgement office: This is the Australia Post facility where the prepared lodgement is going to be presented for assessment and billing. If you have more than one setup, pick the one applicable to this booking.
Deliver to: This is where you identify who you want to receive the unaddressed mail articles:
You can select both Private and Business if you wish.
Include "No Advertising Material" addresses: If your article is an eligible community service or political publication, then you can request that we deliver it to all addresses, even those including a "No Advertising Material" sticker. Please refer to Unaddressed Mail Terms and Conditions for more detail.
Early Delivery Accepted: this is where you tell us if you want your articles to be delivered early or not and we’ll consider your request where possible.
Surplus and shortfall instructions: this is where you tell us what you want to happen with any extra items that could be surplus to requirements and what to do if there are not enough articles for all the nominated addresses.
Special remarks: this is your free text field where you can record anything you like about your booking for future reference (it is a search field) or you may want to advise something special about the articles or delivery. Be brief - you only have 50 characters.
Notes: the notes link is to another free text field where you have 500 characters to record anything about the booking for your future reference. Enter your text and select Add to add a note. Any previous notes will be displayed. The latest note will be displayed first.
The Unaddressed Mail - Delivery area details function allows the delivery area for the booking to be detailed or an existing booking to be viewed or modified.
Delivery state: select a state from the dropdown list. As articles for a state need to be placed together and because transit times to states are different a booking can only be for delivery in one state. If you need delivery in more than one state simply create a second booking for the other state.
Boundary type: you must describe your booking in terms of one of the standard boundary types to which we deliver. The default is Locality - meaning suburbs or towns as listed in the postcode book where we have delivery capability. Locality is the smallest area we offer for you to book. The other available boundary types are Postcode - all the postcodes you find in the postcode booklet and State - if you select State the delivery state you selected will apply. Only one boundary type can apply to a booking.
For government customers there are also Federal electorate and State electorate. These are not available for business or commercial customer use.
New delivery area: Once State and boundary type are selected the actual delivery areas can be selected from the drop down list. Begin by keying the postcode or locality and select from the displayed list the delivery area that you want to add to the booking. Click the Add delivery area link to add the selected delivery area to your booking. Continue selecting delivery areas until you have built your booking.
Other ways to specify Delivery areas - you can also add delivery areas by using the Map or Upload from file links.
Any delivery area that you have selected will be displayed in the booking selection in alphabetical or numerical order. If you have made a mistake, or would like to remove a delivery area from the booking, click on the Delete link to remove the delivery area from the booking.
Delivery date: Enter a date in the format DD/MM/YYYY or use the calendar to select a date. If you select a date other than a Monday the date will default to the Monday of that week. Our agreement is to deliver your articles sometime in the week from Monday to Friday. You cannot select a specific day for delivery. As a result; the "To" date will default to the Friday of the week.
Lodgement date: Once you have selected a State and entered a delivery week the lodgement date will be calculated and displayed. This is the date the articles must be submitted to the lodgement office that you specified in the previous screen. This lodgement date is designed to give you maximum time to prepare the articles and optimum time for us to have your articles in each of our delivery facilities before the Monday of the delivery week.
Note: If you are trying to amend a delivery date and / or lodgement date and are not able to do so, contact the booking office to discuss with us what you are trying to do. The booking office will do whatever they can to assist.
Default address types: We deliver to four different address types; Street, Roadside, PO Box and Counter. If you don't want delivery to all these address types, select Default address types using the small [+] symbol in the top left corner of column 1 of the booking table. Use the check boxes in columns 5-8 to select just those that you want.
Higher prices apply if you leave out street or roadside from your selection as this invariably involves less efficient handling and more administration on our behalf to complete your delivery. Once selected, the new defaults will apply to all new areas added to the booking. Existing selections will not be changed, however you can use the individual check boxes against each selection to exclude particular address types for a delivery area from the booking.
Calculate: If at any time you want to know how many delivery addresses are involved in you booking click on Calculate - the system will check the postal delivery rounds that match your requested delivery areas and populate the table with the number of delivery addresses in the rounds that fit with each of the requested delivery areas and for the booking as a whole.
Excluded rounds: this section of the booking table shows the number of delivery addresses that match your selection, but that are part of rounds that contain other delivery addresses that do not fall within your selected boundary. For example, this may occur when our delivery round delivers to two localities, but your booking has only nominated one of those localities.
In instances where the majority of delivery addresses are included in your selection, and there are only a small number of extra delivery addresses, we automatically include these delivery addresses into your booking. These are shown in column 4, the "Extra" column
The Map link in column 1 of the booking table can be used to see exactly where the "% Coverage Inside + Extra" is in relation to the requested delivery area. Use the map to view the area that will be added to your booking if you check the tick box next to the number of delivery addresses in the coverage column. The map is only for viewing. Selection can only occur through the booking table.
Orange rows of delivery address numbers in the %Coverage Inside column indicate delivery areas that are serviced by the same postal delivery round or rounds. This is more common in rural areas where residences and businesses are spread out and a single delivery round can cover a large area. When you choose to include the %Coverage Inside area of an orange row in your booking one or more of the other orange rows will be impacted as your selection is added to the booking. Due to the way rounds can overlap delivery areas, ticking one box can have a ripple effect across other rows. Conversely, if you de-select one of the orange %Coverage Inside rows, the system may reselect the row if you still have an overlapping row selected. So, you may need to also de-select other orange rows to ensure a particular area is not included in the booking.
Deliver to caption: this is as per your selection on the previous Booking general details screen.
The end result is the best match we can provide of our delivery rounds to your requested delivery area. If you are not happy with the match, or there is something you do not understand, contact the booking office for clarification or assistance with a product that may better suit your needs.
Red Box: The red box around columns 4-8 of the booking table defines the delivery counts that are included in your booking. The totals of these counts are shown in column 9 of the booking table.
The Map link in the TOTAL SELECTION line accesses a map of the booking which shows the total requested delivery area and the delivery rounds that best match your request. A copy of this map will be attached to your confirmation advice. Note - this map is only available for postcode and locality bookings.
If you wish to cap the number of delivery addresses to which your mail article will be delivered, then you can use the Deliver no more than option. This allows you to specify the maximum quantity of articles that you want to supply to be delivered in your requested delivery area. After you have used Calculate to determine the total number of articles for the requested delivery area, you can reduce the number of articles and press Calculate again. One or more rounds will be removed to get as close to your desired quantity without going below it. When you do this "select" pricing will apply.
Booking status and notes are as per the Booking general detail screen.

The documents and labels provided are;
Confirmation Advice: this is the detailed record of the booking, the selected areas and the number of articles required for delivery to the Business or Private sectors and address types of Street, Roadside, PO Box and Counter. It also lists all the important reference data for the booking; the booking reference number; when and where it will be lodged and the time period in which it will be delivered. For quick reference the Confirmation Advice also has a summary map of the area to be delivered.
Mailing Statement: this is a summary report of the booking and the number of articles in each of the price categories. It also details when and where you have agreed to lodge the articles with us. The mailing statement must be provided to us with the prepared lodgement otherwise we will not be able to accept your lodgement.
The mailing statement comes in two forms.
Mail Preparation Advice: this is a summary report of the booking, detailing how the articles are to be prepared for lodgement and smooth passage through our delivery network to the posties who will complete delivery of your articles. It uses the size and weight of your article to determine how many articles can be packed into a bundle, how many bundles can be packed into a tray, how many trays are to packed into a Unit Load Devices (ULD) and in total how many trays and ULDs you will require for the job. Your lodgement point can provide these to you. The Mail Preparation Advice identifies for you and for us the number of articles for each delivery office and how the trays of articles for each delivery office need to be packed together for efficient handing and distribution to posties.
Labels: these are the labels that you need to place on bundles and trays so we know where to send them for delivery. Remember your articles are unaddressed so all the containers in which you pack the articles must be labelled. We provide the labels for you to print and attach.
